Once you connect your calendar, Qualified helps visitors book meetings on your calendar. Update your personal calendar preferences so the meeting booker automatically schedules visitor meetings that fit your calendar availability.
Connect Your Calendar
We offer visitors meeting times based on each rep’s calendar availability. If you do not want Qualified to schedule a meeting during a specific time period, such as during other meetings or out of office events, mark those times as “Busy” within your Google or Microsoft Outlook calendar.
To connect your calendar, navigate to Settings → Calendar and then:
Google Calendar
- Click Connect to Google.
- Select your Google account or enter your Google login details.
- If prompted, check all permission levels to grant Qualified access to your calendar and click Continue.
- Click Allow.
Microsoft Outlook Calendar
- Click Connect to Microsoft.
- Select your Microsoft account or enter your Microsoft Outlook login details.
- Click Accept.
Qualified uses OAuth2 and the Microsoft Graph API to view and create events on your reps' calendars. This API works with most work, personal, and school Microsoft Outlook accounts.
If you see a “Need admin approval” error, ask your Microsoft Azure admin to follow the steps here to grant the minimum needed permissions for our integration:
- Calendars.ReadWrite
- User.Read
- offline_access
To ensure your meetings appear in your correct time zone on your calendar, verify that the time zone in your Microsoft account is accurate and un-check the Timezone option on your calendar events.
DeleteIf you have trouble connecting your calendar, try using Chrome’s incognito or Firefox’s private browsing mode. We also recommend verifying that you’re logged into only the single Google or Microsoft account that you want to use with Qualified.
Add Meeting Links
There are two options for providing meeting links in a calendar invite when a meeting is booked:
- A unique link generated by Qualified through a direct connection to Zoom or Microsoft Teams (recommended)
- Your own meeting details using a personal meeting room link.
By connecting directly to Zoom or MS teams, Qualified automatically generates a unique meeting link for each meeting booked. It only takes a few clicks to setup and is recommended for ease of use! Reps can login directly to Zoom or MS Teams in Settings > Calendar > Meeting details.
Alternatively, a personal meeting room link is a URL to your own video meeting room. The link never changes, so the same one can be used for all of your visitor meetings. When a meeting is booked using Qualified, we automatically send a calendar invite that includes your personal meeting link to the sales rep and visitor.
If you chose to provide your own link, add your personal meeting link to your Confirmation Details before using the Qualified meeting booker. If you do not connect directly to Zoom or Teams, or add your own details, attendees will not receive any meeting link in the automated calendar invite.
To find your personal meeting link:
Zoom
- Log in to your Zoom account from a browser.
- Click Meetings.
- Click Personal Room.
- Copy the Invite Link.
Microsoft Teams
- Click Calendar from the left.
- Click Meet Now.
- From the pop-up that appears, click Get a link to share.
- Copy the link.
Google Meet
- Create an event in Google Calendar.
- Click Add Google Meet video conferencing.
- Next to Does not repeat, click the Down arrow icon.
- Select Custom… from the drop-down menu.
- On the pop-up window, set your event to Repeat every 1 month on any day or time that Ends: Never. (This serves as a placeholder.)
- Click Done.
- Copy the Google Meet URL.
- Click Save.
Once your personal meeting link is copied, add it to your default calendar invite email in Qualified:
- Click the Settings icon.
- Click Calendar from the left panel.
- Within the Enter your own meeting details section, paste your meeting link
- Click Save in the top-right corner.
Customize Your Meeting Preferences
You can set defaults for new booked meetings from Settings → Calendar.
- Confirmation email: Customize the default message sent every time a new meeting is booked on your calendar. This is where your personal meeting link is added.
- Set your availability: Choose which days and hours the meeting booker can schedule meetings.
- Minimum meeting notice: Pick the amount of time required in between when a visitor can schedule a meeting and when the meeting occurs.
- Buffer between meetings: Pick how much time Qualified leaves on your calendar between meetings.
The default Minimum meeting notice is 30 minutes and the default for Buffer between meetings is five minutes. We recommend leaving these as-is when you first start. If your calendar becomes too crowded with visitor meetings, you can increase these settings later. If the meeting booker states that you have no available time slots, you may need to instead reduce these times to broaden your calendar availability.
